How I Helped a Family of 17 Plan a Seamless Cruise Vacation
One of my favorite parts of being a travel advisor is helping families navigate the logistics so they can focus on the fun. When a large group is traveling together, the excitement of the trip is often mixed with a lot of moving parts — different households, different budgets, different room needs, and plenty of coordination.
Recently, I had the opportunity to help a family of 17 people plan a beautiful cruise together to celebrate a milestone anniversary for the grandparents. What could have easily become overwhelming turned into a smooth and memorable planning experience for everyone involved.
Coordinating Travel for Multiple Households
This trip included several households traveling together — siblings, parents, and children — all excited about spending time together on a cruise. With a group this size, organization is key.
Instead of juggling communication with everyone individually, I worked closely with one designated point person in the family. This helped keep planning streamlined and ensured that information was shared clearly with the rest of the group.
Behind the scenes, I handled the details for each household, including:
Individual pricing for each family
Stateroom categories and ship locations that matched their preferences
Connecting or nearby rooms for families who wanted to stay close
Budget considerations for each household
By coordinating all of these details, the family didn’t have to worry about the logistics — they could simply look forward to spending time together.
Making the Planning Process Simple
Group travel can quickly become stressful when everyone is trying to coordinate reservations, preferences, and timelines. My role was to simplify the process.
Using my travel planning tools, I organized all the booking details so each family could easily review their options and confirm what worked best for them. I also generated a video presentation for them on the different options so that each family could decide what was the best match for them. This kept the process clear and efficient while ensuring that every family member felt comfortable with their plans.
A Special Surprise for the Grandparents
One of the most meaningful parts of planning this trip involved a surprise the siblings wanted to arrange for their parents.
Together, they decided to upgrade the grandparents to a beautiful suite as a gift — but they wanted to keep it a secret until Christmas Day.
To help make the reveal extra special, I created a short presentation showcasing the suite using my travel planning software. The family was able to share it with their parents on Christmas morning, turning the moment into a memorable surprise that everyone could celebrate.
Moments like that are one of the things I love most about helping families plan travel. It’s not just about booking a trip — it’s about helping create meaningful experiences and memories.
